Trade-In Program Terms & Conditions

Please read these Trade-In Terms & Conditions (“Terms”) carefully before submitting any items to Retro vGames (“Retro vGames”, “we”, “us”, or “our”). By checking the box and submitting a trade-in request through our website, you (“Seller”, “you”) agree to be bound by these Terms.

1. Requirements & Submission

  • Eligibility: You must be a resident of our serviced regions and the legal owner of all items offered for trade-in.

  • Declaration: You agree to accurately declare the items, condition, and components (cables, controllers, boxes, etc.) included in your trade-in parcel.

  • Duplicate Submissions: Duplicate submissions made within 7 days using the same details will be flagged for secondary review.

2. Pre-Ship Review & Label Expiry

  • Approval & Pricing: Quoted trade-in values shown on the website at submission are estimates based on your declared condition. Our purchasing team reviews all submissions and may approve at the listed price, offer a revised pre-ship price, request additional photos/information, or decline the submission.

  • 48-Hour Shipping Window: Upon approval, a prepaid shipping label will be issued. You must drop off your parcel with the designated carrier within 48 hours of label issuance.

  • Label Voiding: If no carrier scan is detected within 54 hours (including a 6-hour grace period), your shipping label will be voided, the trade-in request will expire, and you will need to submit a new request.

3. Packaging & Transit Risk

  • Packing Compliance: You must securely pack all items according to our Packing & Shipping Instructions and clearly mark TRADE-IN on the exterior of the box.

  • Transit Damage: You bear all risk of loss or damage in transit resulting from inadequate or improper packaging. We reserve the right to decline intake at our warehouse for improperly packaged parcels.

4. Warehouse Inspection & Line-Item Outcomes

  • Inspection SLA: All inbound parcels undergo hands-on quality assurance (QA) and testing, typically completed within 2 to 3 business days of arrival at our warehouse.

  • Outcomes: Each item will be evaluated and assigned one of three outcomes:

    1. Pass at Offer: Item matches declared condition and functionality.

    2. Revised Offer: Item shows functional issues, cosmetic wear, missing parts, or non-original components below the declared grade.

    3. Rejected: Item is non-functional beyond repair, severely damaged, counterfeit/reproduction, or incorrectly declared.

  • Discrepancies: If received items differ from your manifest, we will adjust the line items accordingly before issuing a final outcome.

5. Seller Decision Window (14 Days)

If your trade-in requires a decision (e.g., due to a revised offer or rejected items), you will receive a notification with an itemized inspection breakdown. You have 14 calendar days from notice issuance to choose one of two paths:

  • Option A — Accept Payout: Accept the final evaluated trade-in offer and choose your preferred payout method.

  • Option B — Request Return: Request your items back by uploading a valid prepaid return shipping label. You are responsible for all return shipping costs.

Single-Settlement Rule: One trade-in produces at most one payment and one return shipment. If you accept payment for accepted/revised items, any rejected items will only be returned if you upload a valid return label within the 14-day window.

6. Notice of Forfeiture & Abandoned Items

  • 14-Day Deadline Lapse: If you fail to select a payment option or upload a valid return shipping label within 14 calendar days, you will be issued a formal Notice of Forfeiture giving you a final 24-hour window to respond.

  • Forfeiture Execution: If no response or valid return label is received within the 24-hour final window, all items in the trade-in will be deemed surrendered and forfeited to Retro vGames. Ownership transfers immediately, and we reserve the right to refurbish, resell, or dispose of the items.

7. Payout Options & Store Credit

  • Cash Methods: Cash payouts (e.g., PayPal, direct bank transfers) are executed within 2 business days of payment detail submission. Please allow 3–5 business days for bank processing.

  • Store Credit Bonus: Selecting Store Credit applies a 20% top-up bonus to your final accepted offer amount. Store credit codes are issued electronically within 1 business day and are redeemable at checkout.

  • Failed Payments & Unclaimed Funds: If payment transfer details fail or remain unclaimed, funds remain reserved for 90 days while you update your payment information.

8. Prohibited, Counterfeit, and Stolen Items

  • Counterfeit Goods: We do not purchase counterfeit or reproduction items. Confirmed counterfeit items will not be eligible for payout and are subject to immediate quarantine and disposal or retention as required by law.

  • Stolen Property: Serial numbers are verified against databases. Items identified as stolen property will be quarantined and turned over to law enforcement authorities.

  • Hazardous / Infested Items: Items presenting biohazards, chemical contamination, or pest infestations will be isolated and disposed of immediately for facility safety without return.
